Seen Markets automatically sends email notifications to keep vendors, hosts, and shoppers informed. You can customize status update templates and control which notifications are sent from [seenmarkets.com/settings/email-preferences](https://seenmarkets.com/settings/email-preferences).
## Vendor Notifications
### Application Status Updates
Sent when you change a vendor's status:
* **Approved** — vendor is accepted.
* **Denied** — vendor is not accepted.
* **Waitlisted** — vendor is on the waiting list.
* **Cancelled** — vendor's participation is cancelled.
You can **customize the content** of each status email template. Go to
Settings → Email Preferences & Templates to edit the approved, denied,
waitlist, and cancelled email templates for your organization. Each template
can have different messaging.
### Welcome Email
Sent when a vendor submits their first application:
* Introduces Seen Markets.
* Explains the vendor portal.
* Provides login information and next steps.
### Payment Notifications
**Payment requests:** Sent when you request payment from a vendor — includes the amount, description, and a secure Stripe checkout link.

## Overview
The Booth Map Designer is a drag-and-drop canvas where you create your market's layout. Place booths, add landmarks, upload a background image of your venue, and assign vendors to specific booth spaces. The finished map appears in the Digital Market Guide for shoppers.
## Accessing the Designer
Open your market's management page and click the **Booth Map** card.
## Creating Your Layout
When you first open the designer, you'll see an empty canvas:
### Upload a Background Image
Upload a floor plan, aerial photo, or venue diagram to use as a reference layer behind your booths:
1. Click the **Background** option in the designer toolbar.
2. Upload your image.
3. Position, resize, and adjust the **opacity** so booths are easy to see on top.
This helps you match your digital layout to the real-world venue.
### Import an Existing Layout
If you've already designed a layout for a previous market:
1. Click **Import Layout**.
2. Select the market to copy from.
3. Booths, landmarks, and the background image transfer to your current market.
### Adding Booths
Click **Add Booths** to open the booth creation dialog:
Enter:
* **Width** and **height** (in feet)
* **Number of booths** to create

3. Place the landmark on the canvas.

Adjust the **scale** setting (`boothPixelsPerFoot`, range 2–30) to control how booth dimensions translate to the canvas. This lets you fit your layout to the actual size of your venue.
## Assigning Vendors to Booths
Click any booth on the canvas to see management options:
* **Assign vendor** — select from your approved vendors. The vendor's name appears on the booth.
* **Rotate** — change booth orientation.
* **Remove** — delete the booth.
Assigned booths appear green in the designer to help you track which spaces
are taken. This color is only visible in the designer, not in the public
Digital Market Guide.
You can also assign booths from the **Vendor management** table on the market page — expand a vendor row and assign a booth from there.
## Booth Pricing
Set a **price on individual booths** when you create them or by editing an existing booth. Prices are used when vendor booth self-selection is enabled (see below).

Let approved vendors **pick their own booth** instead of assigning them manually:
1. On your market's management page, click **Vendor Self Assign** button in the top right.
2. Enable booth self-selection.
### How it works for vendors
* Approved vendors see the booth map and available booths.
* **Free booths:** vendor selects → confirms → booth is assigned.
* **Paid booths:** vendor selects → goes to Stripe checkout → booth is assigned after payment.
* If a vendor doesn't complete checkout within the hold time, the reservation expires and the booth becomes available again.

A community signup form where visitors can enter their name and email to join your market's mailing list. This is how you grow your shopper audience for future events and marketing.
### Giveaway

### Info
Market details including:
* Event dates and times.
* Location and address.

Message vendors one-on-one from the web or mobile app, with email notifications on every message.
## Overview
Direct messaging lets you have private, per-market conversations with individual vendors. Every message you send also triggers an email notification to the vendor — and you'll receive an email when they reply — so nothing gets missed even if they're not logged in.
Conversations are organized per market, so context stays clear when you manage multiple events.
## Where to find your messages
**Web:** Go to **Messages** in the left sidebar. This page shows all your DM threads across every market you manage.
**App:** Tap the **Messages** tab at the bottom of the screen.
An unread indicator (blue dot) appears on the Messages nav item and the mobile menu icon whenever you have new messages waiting.
## Starting a new conversation
There are two ways to start a DM with a vendor on the web.
### From the Messages page
Click **Messages** in the left sidebar.
Click the **pen icon** (top right of the thread list) to open the compose window.
Search by name or scroll to find the vendor you want to message. Select them.
Type your message and hit send. The thread opens immediately, even if you've never messaged them before.
### From the vendor table
Go to the market's management page and scroll to the vendor table.
Click the **message icon** on the vendor's row. A dropdown appears with two options: **Email vendor** and **Message vendor**.
Click **Message vendor** to open a direct message thread for that vendor. You go straight to the conversation.
**Email vendor** sends a one-off email using your connected email integration. **Message vendor** opens the in-app DM thread. They're separate — use DMs for ongoing conversations, email for one-off outreach.
## Email notifications
Every DM also triggers an email:
* **When you send a message** — the vendor receives an email notification with the message content.
* **When a vendor replies** — you receive an email notification with their reply.
This means neither party needs to be actively logged in to stay in the loop. All replies come back into the same thread in the app.
## Unread indicators
A **blue dot** appears in two places when you have unread messages:
* Next to **Messages** in the sidebar navigation
* On the **hamburger menu icon** on mobile
The dot clears automatically when you open the thread.
## All your conversations
The Messages page lists every active DM thread. Each row shows:
* The vendor's name
* The market the conversation belongs to
* The last message and timestamp
* An unread indicator if there are new messages

Seen Markets charges a **2% processing fee** on top of Stripe's standard
fees on Free and Pro plans. **Pro Plus** and **Pro Concierge** plans enjoy
**0% platform fees**. You can optionally pass the fee to vendors.
## Setting Up Payments
### Step 1: Connect Stripe

1. **Create a new Stripe account** — complete the Stripe Connect onboarding with your business info and payout details.

The vendor receives an email with a secure **Stripe checkout link**. They click it, pay, and the payment is recorded automatically.
### 2. Booth Selection Checkout
When you enable **vendor booth self-selection** and set prices on booths:
1. Approved vendors see the booth map and available booths with prices.
2. Vendor selects a booth → goes to **Stripe checkout**.
3. After payment, the booth is assigned automatically.
This is configured in the [Booth Map Designer](/essentials/booth-map) (booth prices) and **Booth Selection Settings** (enable self-selection).
### 3. Record a Manual Payment
If a vendor paid outside Stripe (cash, check, Venmo, etc.):
1. Expand the vendor row in the vendor management table.
2. Click **Record Payment** (manual).
3. Enter the amount and description.
4. Mark as paid.
This updates the vendor's payment status without going through Stripe. No fees apply.
## Managing Payments
Track all payments in the vendor management table:
* **Pending** — payment requested, waiting for vendor to pay.
* **Paid** — payment completed (Stripe or manual).
* **Failed** — Stripe payment attempt failed.
* **Refunded** — payment was refunded.

Click **Send Update**. Every vendor in the market receives an email, and the message is posted to their portal / app.

# Vendor Application Form

Streamline your vendor application and approval process
## Overview
Every market includes a vendor application form with standard questions pre-configured. You customize it by editing inline — click on any yellow-highlighted section to add your own questions, update instructions, configure settings, and more. Vendors apply through a shareable link and their submissions appear in your vendor management table.
## Accessing the Application Form
Open your market's management page and click the **Application Form** card. This opens a full-screen editor that shows your form exactly as vendors will see it, with yellow edit controls overlaid on each customizable section.
## How the Form Editor Works
The editor is a **live preview of your application form**. There's no separate edit mode — you see the form as vendors see it, but with yellow-highlighted areas that you can click to customize. At the top you'll find:
* **Share** — copy the application URL or share it.
* **Form Settings** — set deadlines and waitlist rules.
* **Import Form** — copy questions and settings from another market.
* **URL bar** — shows the public application URL; click to copy.
The form preview walks through the same steps vendors see:
1. **Instructions page** — your market info and instructions, with a "Start Application" button.
2. **Name and email** — standard fields (not editable).
3. **Full form** — all standard fields, your custom questions, product categories, giveaway, tax ID, and terms. Yellow controls appear next to each customizable section.
Standard questions (business name, contact info, description, etc.) are
included automatically and cannot be removed. They ensure you collect
essential vendor information every time.
## Customizing Your Form
### Instructions
At the top of the form, you'll see a yellow **"Edit Instructions"** badge with a pencil icon. Click it to write or update the instructions vendors see before they start the application:
* Market details and rules
* Vendor requirements
* Booth fees and what's included
* Important dates
* Setup and teardown instructions
Click **Save** when you're done. Vendors see this on the first page of the application.
### Custom Questions
On the form step, you'll see a yellow **"Add Question"** button at the bottom of the questions section. Click it to add your own questions. Question types:
* **Text** — free-form written response.
* **Select** — dropdown with predefined options.
* **Checkbox** — yes/no or multiple selection.
* **File** — vendor uploads a document or image (e.g. insurance certificate, product photos).
Each custom question you've added has two icons next to it:
* **Yellow pencil** — click to edit the question inline (text, type, options, required, description). The question expands into an inline editor with a yellow border.
* **Red trash** — click to delete the question.
### Product Categories
Look for the yellow **"Add Product Type"** button. Add the categories vendors can choose from when applying (e.g. "Food", "Handmade", "Vintage", "Art"). Each category has:
* **Yellow settings icon** — edit the category.
* **Red trash icon** — delete it.
Product categories help you organize and filter vendors. You can also set a maximum number of vendors per category and enable auto-waitlisting per category.
### Giveaway Section
If you want vendors to contribute prizes for giveaways, look for the **yellow settings icon** next to the giveaway section title. Click it to:
* Show or hide the giveaway section on the form.
* Customize the title and description.
When enabled, vendors can indicate whether they'd like to contribute a prize and what they'd offer.
### Tax ID Section
Click the **yellow settings icon** on the Tax ID section to:
* Show or hide the tax ID field.
* Customize the title and description.
* Configure which tax ID types are accepted.
* Set whether it's required.
### Terms & Conditions
Click the **yellow settings or pencil icon** on the terms section to:
* Show or hide terms & conditions.
* Customize the title.
* Write your terms text.
When enabled, vendors must agree to your terms before submitting.
## Form Settings (Deadline & Waitlist)
Click the **Form Settings** button at the top of the editor to open a dialog where you configure:
### Application Deadline
Set a **deadline** after which the form no longer accepts new applications. After the deadline, vendors see a message that applications are closed (or are automatically placed on the waitlist — see below).
### Auto-Waitlist
Configure an **auto-waitlist threshold** — when the number of approved vendors reaches this number, all new applications are automatically set to "waitlist" status instead of "pending." You can also force all new applications to waitlist regardless of count.
## Import Form from Another Market
Click **Import Form** at the top of the editor to copy all custom questions, product categories, and settings from another market you manage. This saves time when setting up forms for recurring dates or similar events.
## Sharing Your Form
Click **Share** at the top of the editor (or click the URL bar). Your application link looks like:

Share this link via:
* Email to potential vendors
* Social media posts
* Your website
* The mobile app's Share sheet
Anyone with the link can apply — no account required to start. Vendors create
an account during submission so they can track their application.
## What Vendors See
When a vendor opens the application link, they go through a multi-step form:
1. **Instructions** — your market info and instructions. They click "Start Application" to continue.
2. **Name and email** — basic contact info.
3. **Full form** — standard fields (business name, description, contact), your custom questions, product categories, giveaway contribution (if enabled), tax ID (if enabled), and terms & conditions (if enabled).
4. **Submit** — creates their vendor account (if new) and sends the application.
After submitting, the vendor is redirected to their vendor portal where they can track the application status.
## After Vendors Apply
Applications appear in your **Vendor management** table on the market page. From there you can:
* Review each submission (expand to see all responses).
* Set status: **Approved**, **Waitlisted**, **Denied**, or leave as **Pending**.
* Vendors automatically receive an email when you change their status.

## Frequently Asked Questions
Yes. Changes apply to future applications only — existing submissions are
not affected.
Yes. Use **Import Form** to copy custom questions and settings from any of
your other markets. When you duplicate/add another date, the form is copied
automatically.
After the deadline, the form shows a closed message. If you've configured
auto-waitlist or force-waitlist, late applications may be accepted but placed
on the waitlist.

# Auto-Emails

Automatically remind shoppers before your markets and follow up afterward
## Overview
Auto-Emails sends automated messages to your email list before and after each market you attend. You turn it on once, and Seen Markets handles the rest — your shoppers get a reminder to come see you, and a thank-you after the event.
Auto-Emails requires the Maximize plan (\$29.99/mo).
## How it works
There are two types of automated emails:
### Pre-market reminder
Sent **24 hours before** your market starts. The email tells your shoppers where you'll be, when the market is, and includes a link to your [vendor page](/essentials/vendor-page).
Example subject line: *"Jake's Candles is at Oak Street Market tomorrow!"*
### Post-market follow-up
Sent **48 hours after** your market ends. The email thanks shoppers for their support and links back to your vendor page — where they can browse your products, find your next event, or follow you on social media.
Example subject line: *"Thanks for visiting Jake's Candles at Oak Street Market"*
## Who receives them
Auto-Emails are only sent to shoppers who meet **all** of these criteria:
* They're on your [email list](/essentials/vendor-email-list).
* They **opted into marketing** when they signed up (checked the marketing consent box).
* They haven't **unsubscribed** from your emails.
You don't need to pick individual contacts or manage groups. The system handles targeting automatically based on consent and subscription status.
## Enabling Auto-Emails
1. Go to [seenmarkets.com/v/automation](https://seenmarkets.com/v/automation) or click **Auto-Emails** in the sidebar.
2. Toggle on **Pre-market reminders**, **Post-market follow-ups**, or both.
3. That's it. Emails will start going out for your next upcoming market.
You can turn either toggle off at any time. Disabling a toggle stops future sends for that type — it doesn't affect emails already sent.
## What the emails look like
Each email includes:
* **From name:** "\[Your Business Name] via Seen Markets"
* **Your logo** and brand colors (if you've set them on your [vendor page](/essentials/vendor-page)).
* **Market name, date, time, and location.**
* **Link to your vendor page** so shoppers can see your full profile and upcoming events.
* **Unsubscribe link** at the bottom of every email.
Seen Markets sends the emails on your behalf. You don't need your own email sending service or domain.
## Unsubscribe handling
Every Auto-Email includes an unsubscribe link. When a shopper clicks it:
* They stop receiving your automated emails.
* They stay on your [email list](/essentials/vendor-email-list) (they're not deleted).
* They can still receive emails from other vendors they've subscribed to — unsubscribing from you doesn't affect their other subscriptions.
Seen Markets handles all unsubscribe compliance automatically, including the email headers that Gmail and Yahoo require for bulk senders.
## Frequently Asked Questions
No. Seen Markets sends these emails from its own infrastructure, not from
your personal email. We handle deliverability, compliance headers, and
reputation management. Your personal or business email reputation is not
affected.
Not yet. The emails use a standard template with your branding, business
name, and market details. Custom message editing is on the roadmap.
Each market triggers its own set of emails. If you have two markets in one
week, your shoppers receive a pre-market reminder for each one. The emails
are specific to each market, so shoppers know exactly where and when to
find you.
They won't receive Auto-Emails. Only contacts who checked the marketing
consent box during signup are eligible. They still appear on your
[email list](/essentials/vendor-email-list) — you just can't send them
automated messages through Seen Markets.
Auto-Emails stop sending. Your toggle settings are saved, so if you
re-subscribe later, everything picks up where you left off.
There's no limit you need to worry about. Every eligible contact on your
list receives the email for each market. Seen Markets manages sending
limits and pacing on the backend.

## Overview
Your email list is a collection of shoppers who have interacted with your business — scanned your QR code, subscribed on your vendor page, or visited you at a market. You can view the full list, export it as a CSV, and use it with [Auto-Emails](/essentials/vendor-auto-emails) to stay in touch automatically.
Access your email list at [seenmarkets.com/v/shoppers](https://seenmarkets.com/v/shoppers) or from the sidebar under **My Email List**.
Viewing the full list and exporting contacts requires any paid plan (Essentials, Growth, or Maximize). Free vendors can see the total count but not individual contacts.
## Where contacts come from
Your email list combines contacts from three sources:
### Booth Magnet QR code
When a shopper scans your QR code at an event, they land on your [vendor page](/essentials/vendor-page) where they can enter their name and email. That contact goes straight to your list.
This is the most common way vendors grow their list at markets. Print your QR code, display it at your booth, and let shoppers scan it while they're in front of you.
### Notify Me form
Your vendor page has a **Get my event schedule** button. Shoppers who click it enter their name and email to subscribe. They can also opt into marketing updates with a checkbox.
This captures contacts from people who find your page online — through social media, search, or a link you shared.
### Market visitor check-ins
When shoppers check into a market through the Digital Market Guide (for giveaways, booth maps, etc.) and you're an approved vendor at that market, they may appear on your list too. These contacts come from the market's visitor list.
## Viewing your list
Your email list page shows three stats at the top:
* **Total shoppers** — everyone on your list.
* **Opted into marketing** — contacts who checked the marketing consent box. These are the people eligible for [Auto-Emails](/essentials/vendor-auto-emails).
* **Last 30 days** — contacts added in the past month.
Below the stats is the full table with columns for:

### Locked vs. unlocked
If you're on the free plan, you'll see a blurred preview of the table and the total count, but no individual contacts. Upgrade to any paid plan to unlock the full list.
## Exporting your list
Click **Export CSV** to download your entire email list as a spreadsheet. The export includes name, email, source, marketing consent status, and signup date.
Use the export to:
* Import contacts into your own email marketing tool (Mailchimp, Klaviyo, etc.).
* Build a mailing list outside of Seen Markets.
* Keep a backup of your contacts.
## Marketing consent
When shoppers sign up through the Notify Me form or Booth Magnet QR, they see a checkbox: "I agree to receive marketing updates and promotions." This is recorded as their **marketing consent** status.
Marketing consent matters because:
* Only contacts who opted in are eligible for [Auto-Emails](/essentials/vendor-auto-emails).
* It keeps you compliant with email regulations (CAN-SPAM, GDPR).
* Shoppers who didn't opt in still appear on your list — you just can't send them marketing emails through Seen Markets.
You can still export all contacts (opted in or not) and use them in your own
tools, subject to your own compliance practices.
## Growing your list
### At events
* **Display your QR code prominently** — on a sign, banner, or table tent. Make it easy to scan without asking.
* **Mention it during conversations** — "Scan my QR to see where I'll be next" is a natural way to capture emails.
* **Pair it with incentives** — offer a small discount or freebie for signing up.
### Online
* **Share your vendor page link** — add it to your Instagram bio, email signature, and social posts.
* **Post about upcoming events** — drive followers to your vendor page where they can subscribe.
* **Add the link to your website** — if you have a separate site, link to your Seen Markets vendor page.
### At every market
Your list grows automatically when you attend markets on Seen Markets. Market visitors who check in are added to your list. The more events you do, the bigger your list gets.
## Frequently Asked Questions
Yes. When someone scans your QR code, fills out the Notify Me form, or
checks into a market you're at, they're added to your list with no action
needed from you.
Not manually. The [Auto-Emails](/essentials/vendor-auto-emails) feature
(Maximize plan) sends automated pre-market and post-market emails on your
behalf. For custom campaigns, export your list and use your own email tool.
No. Contacts are deduplicated by email address. If someone scans your QR
at one market and checks in at another, they appear once on your list.
Shoppers who receive [Auto-Emails](/essentials/vendor-auto-emails) can
unsubscribe from those emails. Their contact remains on your list but they
won't receive further automated messages from you.
Any paid plan (Essentials, Growth, or Maximize) unlocks your full email
list and CSV export. Free vendors see the total count only.

Efficiently manage your market vendors from application to attendance
## Overview
The Vendor Management system lets you track and manage all vendors for a market in one place. Review applications, update statuses, assign booths, collect payments, message vendors, and keep notes — all from the vendor management table on your market's management page.
## Accessing Vendor Management
Open your market's management page and scroll to the vendor table:
## The Vendor Table
Each row shows a vendor with their status, booth assignment, and payment info. Expand a row to see full details.
## Adding Vendors
### Through the Application Form (recommended)
Vendors apply through your market's application form link. Their submissions appear automatically in the table. See [Vendor Application Form](/essentials/vendor-applications) for setup details.
### Import from Previous Markets
Import vendors from other markets you've managed:
1. Click **Import Vendors**.
2. Select the market to import from.
3. Standard vendor info is transferred (name, contact, etc.). Custom question responses are not imported.
### Add Manually
Click **Add Vendor** to manually add a vendor by entering their details. The vendor receives a welcome email with a link to create their account.
## Vendor Status
Set each vendor's status:

| **Pending** | Default. Waiting for your review. |
| **Approved** | Accepted to the market. |
| **Denied** | Not accepted. |
| **Waitlisted** | On the list if a spot opens. |

Vendors automatically receive an email notification when you change their
status. You can customize these email templates at Settings → Email
Preferences & Templates.
## Viewing Vendor Details
Expand any vendor row to see:
* **Application responses** — all form answers including custom questions.
* **Payment history** — pending, paid, and failed payments.
* **Booth assignment** — current booth or option to assign one.
* **Giveaway prize contributions** — what the vendor offered for giveaways.
* **Notes** — internal notes visible only to your team (see below).
## Booth Assignment
From the expanded vendor row, assign a booth:
1. Click **Assign booth**.
2. Select from available booths on your map.
3. Save — the vendor's name appears on the booth in the map designer and the Digital Market Guide.

## Payment Management
### Requesting Payment
1. Click **Request Payment** for a vendor.
2. Enter the amount and a description (e.g. "Booth Fee — 10x10 Space").
3. Submit — the vendor receives an email with a secure Stripe checkout link.
### Recording Manual Payments
If a vendor paid outside of Stripe (cash, check, etc.):
1. Click **Record Payment** (or add a manual payment).
2. Enter the amount and description.
3. Mark as paid — this updates the vendor's payment status without going through Stripe.
### Payment Statuses
* **Pending** — payment requested, not yet paid.
* **Paid** — payment completed (Stripe or manual).
* **Failed** — payment attempt failed.
* **Refunded** — payment was refunded.
* **Cancelled** — payment request was cancelled by the host.
## Notes
### Vendor Notes
Add **internal notes** to any vendor — visible only to your team. Use them to track conversations, special requirements, or reminders.
1. Expand the vendor row.
2. Go to the **Notes** section.
3. Add, edit, or delete notes.
### Market Notes
Add **market-level notes** that are shared across your team — visible from the market management page. Use these for logistics, planning, or anything about the event itself (as opposed to a specific vendor).
Market notes are separate from vendor notes. Both are only visible to your team.
## Direct Messaging
Message vendors directly from the table:
* Click the **DM / message** icon on a vendor row.
* Opens a direct message thread for that market.
* Vendors see and reply to messages in their portal and the mobile app.
You can also access all DM threads from the Messages page.
## Booth Selection Settings
Control whether vendors can pick their own booths:
1. On the market management page, find **Booth Selection Settings**.
2. Enable or disable vendor self-selection.
3. Set an optional **hold time** for reservations.
When enabled, approved vendors see the booth map and can reserve a booth. Paid booths require Stripe checkout.
## Exporting Data
Export your vendor list as a **CSV** for offline use, reporting, or importing into other tools. Click the **Export** button above the table.
## Best Practices
Vendors are waiting to hear back. Quick reviews improve their experience
and your market's reputation. Use the status filters to focus on pending
applications.
Instead of email back-and-forth, use the built-in DM to ask a vendor a
quick question about their application or setup needs.
Add notes about vendor conversations, special requirements, or past issues.
Your team can see these when reviewing the vendor in the future.
## Frequently Asked Questions
Yes. Vendors receive an email whenever you change their status. You can
customize these templates in Settings → Email Preferences.
Yes. Use Import Vendors and select the source market. Standard info is
copied; custom question responses are not.

Set up your public vendor page to showcase your business, collect emails, and let shoppers find you at upcoming events
## Overview
Your vendor page is a public profile for your business on Seen Markets. It's where shoppers go to learn about you, see your upcoming events, browse your products, and sign up to hear from you. Every vendor gets one automatically — you just need to fill it in.
Your vendor page URL looks like `seenmarkets.com/vendor/your-name` (with a paid plan) or `seenmarkets.com/vendor/your-id` (free).
## Accessing your vendor page
Go to [seenmarkets.com/v/profile](https://seenmarkets.com/v/profile) to manage your vendor page. You can also get there from the sidebar by clicking **Vendor Page**.
At the top of the page, use **View your page** to see what shoppers see.
## Setting up your page
The profile editor is organized into sections. Use the sticky navigation bar to jump between them.
### Basics
* **Logo** — your business logo. Appears on your vendor page, booth maps, and market listings.
* **Tagline** — a short line that appears under your name (e.g., "Handmade soy candles for every season").
* **Description** — tell shoppers what you sell and what makes your business unique.
### Gallery
Upload photos of your products, booth setup, and anything else you want shoppers to see. Drag to reorder. Images must be under 4 MB each.
Your gallery appears as a scrollable section on your vendor page. Shoppers can tap any photo to view it full-screen.
### Business info
* **Legal business name** and **DBA** (doing business as).
* **Phone number** and **website**.
* **Address** — used for location context on your page. Your full street address is not shown publicly.
### Social links
Add your accounts for Instagram, TikTok, X, Facebook, and YouTube. These appear as icons on your vendor page so shoppers can follow you.
### Payment methods
Add your Venmo, Cash App, and PayPal usernames. Shoppers see these on your page under a **Pay** section so they can send you money directly at events.
## Customizing your brand
Custom branding requires the Essentials plan (\$3.99/mo) or higher.
Click **My Brand** at the top of the profile editor to open branding settings.
### Custom URL
Choose a custom slug for your vendor page URL: `seenmarkets.com/vendor/yourname`. Use this on business cards, social bios, and signage. You can check availability before saving.
### Brand colors
Set a **brand color** and **accent color**. These are applied to your vendor page — buttons, links, and the Notify Me form all use your brand colors.
### Banner image
Upload a banner image that appears at the top of your vendor page. Use a wide, high-quality photo of your booth, products, or branding.
## Booth Magnet QR code
The QR code requires the Essentials plan (\$3.99/mo) or higher.
Your vendor page has a built-in QR code that links directly to it. Display this at your booth so shoppers can scan it, see your page, and sign up for your email list on the spot.
To download your QR code:
1. Go to your profile editor and click the **QR code** button at the top.
2. Choose a size: 512px (social media), 1024px (print), or 2048px (large format).
3. Download and print it.
When a shopper scans the code, they land on your vendor page where they can browse your info and subscribe via the **Notify Me** form.
Every email captured through your QR code or Notify Me form goes straight to your [email list](/essentials/vendor-email-list).
## Event schedule
Your vendor page shows an **Upcoming Events** section with all the markets you're attending.
### Seen Markets events
Any market where you're approved as a vendor automatically appears on your event schedule. You don't need to add these manually.
### Outside events
Outside events require the Growth plan (\$4.99/mo) or higher.
Add events that aren't on Seen Markets — craft fairs, pop-ups, festivals, or any other event you're attending. Each outside event includes a name, date, location, and optional link.
This gives shoppers a complete picture of where to find you, not just Seen Markets events.
### Invite a host
Know a market host who isn't on Seen Markets yet? Use the **Invite a Host** feature from your event schedule section to send them a referral email. You can also copy a personal follow-up script to send yourself.
## Shop links
Shop links require the Growth plan (\$4.99/mo) or higher.
Add products to your vendor page with an image, title, description, price, and a buy link to your online store (Shopify, Etsy, Square, or any URL). Shoppers who visit your booth can buy from you later with one tap.
Drag to reorder products. Each product appears as a card in the **Shop** section of your vendor page.
## Notify Me
Your vendor page includes a **Get my event schedule** button. When a shopper taps it, a form asks for their name and email, with an optional checkbox to opt into marketing updates.
After subscribing, the shopper sees a confirmation: "We'll let you know when \[your name] is at an upcoming event."
Contacts collected through this form appear in your [email list](/essentials/vendor-email-list). If the shopper opts into marketing, they're also eligible for [Auto-Emails](/essentials/vendor-auto-emails).
## Sharing your page
Click **Share** at the top of the profile editor to get sharing options:
* **Copy link** — copy your vendor page URL.
* **Social sharing** — share directly to social platforms.
* **QR code** — download your QR code for print.
Add your vendor page link to your Instagram bio, email signature, business cards, and anywhere else shoppers can find you.

Yes. Every vendor has a public page. Free pages use a default URL with your
vendor ID and don't include custom branding, but all the basics are there.
Images must be under 4 MB. For best results, use landscape-oriented photos
at least 1200px wide. The banner image should be wide and short — think
social media cover photo dimensions.
Not currently. Your vendor page lives at `seenmarkets.com/vendor/yourname`.
Their name and email are added to your [email list](/essentials/vendor-email-list).
If they opted into marketing, they'll receive your

## Overview
The Vendor Portal is where vendors manage everything about their market participation — applications, booth assignments, payments, messaging with hosts, loyalty rewards, and their business profile. It's available on the web at [seenmarkets.com](https://seenmarkets.com) and in the Seen Markets mobile app.
## Accessing the Portal
Vendors get access when they submit their first application or create an account. Sign in at [seenmarkets.com](https://seenmarkets.com) or the mobile app.
## Dashboard
The vendor dashboard shows:
* **Upcoming markets** — all events you've applied to, with status (pending, approved, waitlisted, denied).
* **Pending payments** — outstanding payment requests from hosts with a link to pay.
* **Market updates** — notifications from hosts (schedule changes, reminders, etc.).
* **Booth info** — your assigned booth or option to pick one (when self-selection is enabled).
## Managing Markets
### Application Status
Track every application:
* **Pending** — waiting for host review.
* **Approved** — you're in. Check for booth assignment and payments.
* **Waitlisted** — on the list; you'll be notified if a spot opens.
* **Denied** — not accepted for this event.
### Apply to More Dates
If a host runs recurring events, you'll see their other dates. Apply to additional dates with **one tap** — your business info is prefilled. Choose which dates you want to attend.
### Update Your Application
Made a mistake or need to change something? Open the market and tap **Edit application** to update your submission (opens on the web).
### Cancel Participation
Changed your mind? Open the market details and use **Cancel participation** to withdraw. The host will be notified.
## Explore and Find Markets
### Explore (app)
The **Explore** tab shows upcoming markets from hosts you've already worked with. An easy way to find more dates or new events from organizers you know.
### Find Markets (app)
Search for new markets by name, location, state, or "near me." Apply directly from the results.
### Explore (web)
At [seenmarkets.com/v/explore](https://seenmarkets.com/v/explore), browse markets from hosts you've worked with and apply to new dates.
### Find a Local Market (public directory)
Visit [seenmarkets.com/find-a-local-market](https://seenmarkets.com/find-a-local-market) to browse a public directory of all published markets on Seen Markets. You can search by name, browse by state, or use your location to find markets near you. No login required.
## Booth Selection
When a host enables booth self-selection:
1. You see the interactive booth map with available booths.
2. Select a booth. **Free booths** confirm immediately; **paid booths** go to Stripe checkout.
3. Reservations have a **time limit** — complete checkout before the hold expires.
If the host assigns your booth manually, you'll see your assignment in the market details and the booth map.
## Payments
### Payment Requests
When a host requests payment (e.g. booth fee):
* You receive an email with a secure Stripe checkout link.
* The request also appears on your dashboard and in the mobile app.
* Tap **Pay Now** to complete the payment.
### Payment History
View all past payments at [seenmarkets.com/v/payments](https://seenmarkets.com/v/payments) or in the mobile app under **Menu → Payment History**.
## Direct Messaging
Message market organizers one-on-one from the web portal or mobile app.
* **Web — from your dashboard:** Click **Message host** on any market card to open a thread with that organizer directly.
* **Web — Messages page:** Click **Messages** in the sidebar to see all your threads. Use the pen icon to start a new conversation with any organizer.
* **App:** Tap **Message organizer** from the market details, or go to the **Messages** tab for all conversations.
Every message you send also triggers an email notification to the organizer, and you'll receive an email when they reply — so neither party needs to be actively logged in to stay in the loop.
A blue dot appears next to **Messages** in the sidebar (and on the mobile menu icon) when you have unread messages.

## Loyalty Program
Some hosts run a **loyalty program** that rewards vendors for repeat participation:
* See your progress toward the next reward in the app's **Loyalty** tab or at [seenmarkets.com/v/loyalty-program](https://seenmarkets.com/v/loyalty-program).
* Rewards are typically discounts on booth fees based on number of markets attended.
* Each host's program is separate.
## Profile Management
Keep your vendor profile updated — it's used across all applications.
### What you can edit
* **Business info** — name, description, product categories.
* **Logo** — upload your business logo.
* **Contact** — email, phone.
* **Address** — business address.
* **Social links** — Instagram, TikTok, X, Facebook, YouTube.
* **Payment methods** — Venmo, Cash App, PayPal usernames (for hosts to see).
Your profile info automatically fills future market applications, saving time
and ensuring consistency.
## Market Updates and Notifications
* Hosts can send market-wide updates (schedule changes, weather alerts, setup instructions).
* Updates appear on your dashboard and in the market details.
* You also receive an email notification.
* All updates are preserved for future reference.

## What the schedule page is
Your organization has a **public schedule page** on Seen Markets that lists all your upcoming (and past) events. It's a live page — when you create or update events, the schedule updates automatically. Each event shows the name, date, location, vendor count, and a link for vendors to apply.
The URL looks like: `https://seenmarkets.com/market-schedule/[your-id]/[your-org-name]`
## How to get your schedule page URL
Open the **Schedule tab** (home screen). You'll see a **Schedule page** section with your URL. Tap to **copy** the link or **preview** it in the browser.
Your schedule page URL is: `https://seenmarkets.com/market-schedule/[your-team-id]/[your-org-name-slug]`. You can find it linked from your dashboard or markets page.
## Three ways to add it to your website
### 1. Link to it (simplest)
Add a link or button on your website that goes to your schedule page URL. This is the easiest option and works on any website.

The schedule page is designed to look good on its own — it shows your organization name, all upcoming markets with dates and locations, and a link to apply to each one. It also has full SEO (search engine optimization) with structured data so Google can index your events.
### 2. Embed it with an iframe
If you want the schedule to appear directly inside your website (no redirect), embed it with an iframe:

Adjust the `height` to fit your layout. The schedule page is responsive, so it works at any width.
### 3. Link individual events
If you only want to link to specific events (not the full schedule), use the **market page** URL for each event. Get it from the market's management page or the **Share** button → **Market Page**. The URL looks like:

You can also link directly to an event's **application form** if you want vendors to apply right away:

## What visitors see
When someone visits your schedule page, they see:
* **Your organization name** as the page title.
* **Upcoming markets** — each one shows the name, dates, location, number of approved vendors, and a link to view/apply.
* **Past markets** — available below the upcoming section for reference.
* **SEO-optimized** — Google indexes your events as structured data (schema.org Events), so they can appear in search results.
## Tips
* Add the schedule link to your website's **navigation menu** or **footer** so it's always accessible.
* Include it in your **email newsletters** and **social media bios** so vendors can find all your events in one place.
* The schedule page updates **automatically** — you don't need to change anything on your website when you add new events.
* If you use the iframe embed, the page scrolls within the frame. Make sure the height is tall enough to show your events without excessive scrolling.

## What team members can do
Team members share access to your organization — they can manage markets, review vendor applications, assign booths, and help with day-to-day operations. You control access with roles.
## How to invite someone
Go to [seenmarkets.com/team](https://seenmarkets.com/team) or from the mobile app: **Menu → Settings → Team Members**.
Click **Invite Member**. Enter their email address. They'll receive an email with a link to accept the invite.
When they click the link, they sign in (or create an account) and are added to your organization. They can now access your markets.
## Roles

## Two ways to add vendors
You can add vendors in two ways. Use the one that fits how you run your market.

### 1. Application form (recommended)
Vendors fill out your form; you approve or waitlist them. This is how most markets get vendors.
Open your market’s management page at [seenmarkets.com](https://seenmarkets.com). In the **Application Form** section, copy the **application form link** (e.g. `https://seenmarkets.com/markets/.../apply`).
Send that link to potential vendors by email, social media, or your website. It’s the direct link they use to apply. In the mobile app, open the market and use **Share** → **Application Form** to get the same link.
When vendors submit, they appear in your **Vendor management** table on the same market page. Review each application, then set status to **Approved**, **Waitlisted**, or **Denied**. They get an email when you change status.
For approved vendors, assign a booth from your booth map and use **Request Payment** for booth fees. Everything is tracked in the same table.
**Direct link:** The application form link is the one that says something like “Direct link to send to potential vendors that they can fill out.” Use that exact URL when sharing.

### 2. Import from a previous market
If you already have a list of vendors from another market (in Seen Markets), you can import them so you don’t re-enter everyone.
Go to the market you want to add vendors to (the “new” market).
In the vendor management area, use **Import from previous market** (or similar). Choose the market you’re importing from.
Standard vendor info (name, contact, etc.) is copied. Custom question responses from the old application are **not** imported—you only get the core vendor record. Review and save.
After importing, you can assign booths and request payments the same way as for applicants.

* **Web:** [seenmarkets.com](https://seenmarkets.com) → your market → **Application Form** (for the link) and **Vendor management** (for the table).
* **Mobile app:** Open the market → **Share** for the application form link; vendor list and approvals are easier on web, but you can still view and message vendors from the app.

The market host shares an application link (e.g. in an email, on social media, or on their website). It looks like: `https://seenmarkets.com/markets/.../apply`

* **Business name** and **description**
* **Contact info** (email, phone)

* **Custom questions** from the host (varies by market)
* **Giveaway contribution** (optional — if the host is running a giveaway, you can offer a prize)
* **Terms & conditions** (if the host set them up)
No account is required to start. Your account is created when you submit.
Click submit. You'll be redirected to your vendor portal where you can track the application.
The host reviews your application and sets your status: **Approved**, **Waitlisted**, or **Denied**. You get an email when your status changes.
## Apply to more dates
If the host runs recurring events (weekly, monthly, etc.), you'll see their other dates in your **vendor portal** and in the **Explore tab** of the mobile app. Apply to additional dates with **one tap** — your business info is prefilled. Choose which dates you want to attend.

## After you're approved
* **Booth assignment:** The host assigns your booth, or you pick your own if self-selection is enabled.
* **Payment:** The host may request a booth fee. Pay via the Stripe link in the email or "Pay Now" in the app.
* **Updates:** Watch for host announcements in your portal and app notifications.
## Updating your application

## If you're already a vendor
You don't need a new account. Your Seen Markets account can be both a vendor and a host — they're two contexts on the same login.
Sign in at [seenmarkets.com](https://seenmarkets.com) with the same email you use as a vendor. Or open the mobile app.
**Web:** Click your profile/account menu in the top navigation. You'll see your vendor account listed.
**App:** Tap the **profile icon** in the header. You'll see your Vendor account and any host organizations.
**Web:** Go to [seenmarkets.com/create-organization](https://seenmarkets.com/create-organization) or look for an option to create a new organization from your account menu.
**App:** If you don't have a host organization yet, the app will prompt you to create one. Enter your **organization name** (e.g. "Downtown Farmers Market" or your business name).
Once your organization is created, switch to it from the account menu. You'll see the host dashboard with your markets, settings, and management tools.
## Pricing
Your **first event is free**. To create unlimited events, upgrade to **Pro** — subscribe via Apple (App Store), Google Play, or Stripe on the web. Your vendor features stay free regardless.
## Switching between host and vendor
After you have both a vendor profile and a host organization:
* **Web:** Use the account menu to switch between your vendor dashboard and host dashboard.
* **App:** Tap the **profile icon** → select your **Vendor** account or your **host organization**. The app tabs and content change based on your selection.
You can switch back and forth at any time. Your vendor applications, profile, and payment history are separate from your host markets and settings.
## If you're brand new
If you don't have any Seen Markets account yet:
1. Go to [seenmarkets.com/signup](https://seenmarkets.com/signup) or download the mobile app.
2. Create an account (email/password, Google, or Apple).
3. Choose **"I'm an event organizer"** when prompted.
4. Create your organization and you're ready to create your first market.

## If you're a host and want to become a vendor too
The same account works in both directions. If you're currently a host and want to apply to other people's markets as a vendor:
1. **Web:** Go to your account settings and create a vendor profile, or simply apply to a market using an application form link — your vendor profile is created during application.
2. **App:** Tap the **profile icon** → if you don't see a Vendor account, the app will prompt you to create a vendor profile (business name, contact, etc.).
Once your vendor profile exists, you can switch between host and vendor from the account menu.

## When you can choose
Booth self-selection is only available when:
1. The **host has enabled it** for the market.
2. You are **approved** (pending/waitlisted vendors can't select).
If the host doesn't enable self-selection, they assign your booth manually and you'll see the assignment in your market details.
## How to pick your booth
**App:** Go to the Schedule tab → tap the market. You'll see a **Choose booth** button.
**Web:** Go to your vendor dashboard → open the market.
The interactive map shows all booths:
* **Available** — open for you to select.
* **Reserved** — someone else is holding it (time-limited).
* **Taken** — already assigned.
Tap the booth you want.
* **Free booth:** Confirm your selection. The booth is assigned immediately.
* **Paid booth:** You go to **Stripe checkout**. The booth is reserved with a time-limited hold while you pay. Complete checkout to confirm.
## Time-limited holds
When you select a paid booth, it's held for you for a limited time (set by the host). If you don't complete checkout before the hold expires, the booth becomes available again. So don't wait too long after selecting.
## Adding another booth
Some hosts allow vendors to have multiple booths. If so, you'll see an **Add another booth** option after your first selection.
## Tips
* Pick your booth as soon as it opens — popular spots go fast.
* Check the booth map before selecting to see where entrances, exits, and other vendors are.
* If you need a specific spot (corner, near power, etc.), message the host to ask before selecting.

## Three ways to collect payment
Pick the method that fits your workflow. You can mix and match across vendors.

### 1. Request payment directly
The most common method. You send a payment request and the vendor gets a Stripe checkout link.
Go to [seenmarkets.com](https://seenmarkets.com) → your market's management page → scroll to the **Vendor management** table.
Expand a vendor row and click **Request Payment**. Enter:
* **Amount** (e.g. \$75)
* **Description** (e.g. "Booth Fee — 10x10 Space")
The vendor gets an email with a secure Stripe checkout link. They click it and pay. The payment also shows as "Pay Now" in the vendor's mobile app and portal. Once paid, the status updates automatically.

### 2. Booth pricing + self-selection
Set prices on booths and let approved vendors pay when they pick their spot. Fully hands-off.
In the [Booth Map Designer](/essentials/booth-map), set a **price** on each booth when you create or edit it (e.g. $50 for a 10x10, $100 for a corner spot).
On the market management page, open **Booth Selection Settings** and enable vendor self-selection. Set a hold time (how long a vendor can hold a reservation before it expires).
Approved vendors see the booth map with prices. They select a booth, go to Stripe checkout, and pay. The booth is assigned automatically after payment.

### 3. Record a manual payment
For cash, check, Venmo, or any payment outside of Stripe.
In the vendor management table, expand the vendor.
Click **Record Payment** (manual). Enter the amount and description, then mark as paid.
The vendor's payment status updates. No Stripe fees apply since payment happened outside the platform.
## Before you can collect payments
You need **Stripe connected** to use methods 1 and 2. Set this up at [seenmarkets.com/settings/payments](https://seenmarkets.com/settings/payments) or from the **Getting started checklist** in the mobile app.
* We charge a **2% platform fee** on top of Stripe's standard fees (0% on **Pro Plus** and **Pro Concierge** plans).
* You can **pass the platform fee to vendors** so they cover it — configure this in your payment settings.
## Tracking payments
All payments (Stripe and manual) are tracked in the vendor management table:
* **Pending** — requested, waiting for vendor.
* **Paid** — completed.
* **Failed** — Stripe attempt failed.
* **Cancelled** — you cancelled the request.
You can also **cancel** pending requests and **resend** the payment link if a vendor lost the email.
## Where vendors pay
* **Email** — they get a Stripe checkout link.
* **Mobile app** — pending payments show on the Schedule tab with "Pay Now."
* **Web portal** — pending payments appear on the vendor dashboard.

## What the event map is
The **booth map** is an interactive canvas where you place booths, landmarks, and an optional background image (like a venue floor plan). You design it in the Booth Map Designer on the web, assign vendors to booths, and shoppers see it in the Digital Market Guide.
## How to edit the booth map
Go to [seenmarkets.com](https://seenmarkets.com) → your market's management page → click the **Booth Map** card. This opens the designer canvas.
Upload a floor plan or aerial photo of your venue. You can position, resize, and adjust the opacity so it sits behind your booths as a reference layer.
Click **Add Booths**. Set the width, height, and how many to create. They appear on the canvas — drag them into position. You can rotate, resize, rename (e.g. "A1", "B3"), and set a price per booth.
Click **Add Landmark** to mark key locations: entrances, exits, bathrooms, doors, power outlets, or custom labels. Place them on the canvas.
Save your changes. The Digital Market Guide updates automatically so shoppers see the latest map.
### Import a layout from another market
If you've already designed a layout for a previous market, click **Import Layout** and select the market to copy from. The booths, landmarks, and background transfer to your new market so you don't start from scratch.
## How to assign vendors to booths
In the Booth Map Designer, click any booth to open its options.
Choose **Assign vendor** and select from your approved vendors. The vendor's name appears on that booth. Assigned booths turn green in the designer (this color is only visible to you, not shoppers).
Open the **Digital Market Guide** (or preview) to confirm the map and assignments look right.
You can also assign booths from the **Vendor management** table on the same market page — expand a vendor row and assign a booth from there.
## Booth pricing and vendor self-selection
Hosts can set a **price on each booth**. When booth self-selection is enabled:
1. Approved vendors see the booth map and can **reserve a booth** themselves.
2. Free booths: vendor reserves and confirms.
3. Paid booths: vendor reserves → goes to Stripe checkout → booth is assigned after payment.
4. Reservations have a **time-limited hold** so booths don't stay locked if a vendor doesn't complete checkout.
To enable this, go to your market's management page and look for **Booth Selection Settings**.

## Three ways to find markets
### 1. Find a Local Market (web)
Visit [seenmarkets.com/find-a-local-market](https://seenmarkets.com/find-a-local-market) — a public directory of published markets on Seen Markets.
* **Browse by state** — see all markets in a specific state.
* **Search** — type a market name or location to find it.
* **Near me** — use your location to find nearby markets.
Each result shows the market name, dates, location, and a link to view the market page or apply.
### 2. Explore tab (mobile app)
In the Seen Markets app, the **Explore** tab shows:
* **Markets from hosts you've worked with** — if you've applied to a host's event before, their other upcoming events appear here. Tap "Join" to apply.
* **"Find events near you"** — opens a search where you can look up markets by name, location, state, or use your current location.
### 3. Direct links from hosts
Many hosts share their links directly:
* **Application form link** — the host sends you a direct URL to apply (e.g. `seenmarkets.com/markets/.../apply`). This is the most common way.
* **Schedule page** — a host's public schedule showing all their upcoming events. You can apply to any of them.
* **Market page** — a public marketing page for a specific event with a link to apply.
## After you find a market

## Tips
* Check the Explore tab regularly — new events from hosts you know appear automatically.
* Use "Find events near you" if you're looking for markets in a new area.
* Follow hosts on social media — they often post application links there.
# How to run an invite-only market

Control which vendors can see your market in their portal, while still letting it appear publicly
## What invite-only means
An invite-only market is visible to everyone on your public market page, schedule page, and search — but the **Apply to be a Vendor** button is hidden. Vendors can only apply if you send them the direct application form link.
Additionally, only the vendors you've explicitly invited will see this market listed in their **vendor portal**. Uninvited vendors who visit the public market page won't find an apply button there.
Use invite-only when you want to:
* Pre-select returning vendors before opening applications broadly

## Set a market to invite-only
Go to [seenmarkets.com](https://seenmarkets.com/markets) and open the
**Markets** tab.
Find the market card. Click the status pill (it will say **Draft** or
**Published**) to open the status dropdown. Select **Invite Only**.
The pill will update to show a lock icon and **Invite Only**. The market is
now live on your public pages but the apply button is hidden.
You can switch between Draft, Published, and Invite Only at any time from the
same dropdown. Changing to **Published** re-enables the apply button for
everyone.
## Add vendors to your invite list
Once a market is set to invite-only, a **Manage Invites** link appears below the status pill on the market card.
Click **Manage Invites** on the market card. A panel opens showing your
current invite list and a searchable list of candidates.
Candidates are vendors who have previously applied to any of your markets.
Search by name or business name, then click **Add** next to each vendor you
want to invite.
To remove someone from the invite list, click the **×** next to their name
in the invited vendors section at the top of the panel.
Candidates are limited to vendors who have already applied to one of your
markets. If you want to invite a brand-new vendor who has never applied
before, send them the direct application form link instead (see below).
## Send vendors the application form
Being on the invite list means the vendor can see the market in their portal — it does not automatically approve them or submit an application for them. To actually apply, they need your application form link.
**Where to get it:** Market management page → Application Form section → copy the link.
Send this link directly to the vendors you've invited. When they open it and submit, they appear in your vendor management table for review.
## What vendors see

The public market page is accessible to anyone with the URL regardless of invite status. The apply button just won't be there — so sharing the market page on social media is safe.
## Switch back to public
To re-open applications to everyone, click the **Invite Only** status pill and select **Published**. The apply button reappears on the market page and schedule page immediately.
# How to message a market organizer

## Overview
You can message any market organizer directly from the web portal or mobile app. Every message you send also triggers an email notification to the organizer, and you'll receive an email when they reply.
## Starting a conversation
### From your dashboard
The quickest way to message an organizer is directly from the market on your dashboard.
Sign in at [seenmarkets.com](https://seenmarkets.com) and go to your vendor dashboard.
Locate the market you want to message the organizer about.
Click the **Message host** button on the market card or inside the market details. You're taken straight to a DM thread with that organizer.
Type your message and hit send. The organizer receives it in their portal, mobile app, and by email.
### From the Messages page
Click **Messages** in the left sidebar of your vendor portal.
If you've messaged this organizer before, click the thread in the list.
Click the **pen icon** at the top of the thread list. Search for the market organizer by name, select them, and type your message.
### From the mobile app
Go to the market in your app.
Tap **Message organizer** from the market details screen.
You can also tap the **Messages** tab at the bottom of the app to see all your conversations.
## Email notifications
Every DM also sends an email:
* **When you send a message** — the organizer receives an email notification.
* **When they reply** — you receive an email notification.
You don't need to be actively logged in to stay in the loop.
## Unread messages
A **blue dot** appears next to **Messages** in the sidebar and on the mobile menu icon when you have unread messages. It clears when you open the thread.
## All your conversations
The Messages page lists all your threads with organizers. Each row shows the organizer's name, the market the thread belongs to, and a preview of the last message.
Threads are organized per market so each conversation stays in context — handy when you work with the same organizer across multiple events.

## Two ways to message vendors
### 1. Send an update (broadcast to all)
Use this for announcements that go to every vendor in a market.
**Web:** Go to your market's management page.
**App:** Open the market from the Schedule tab.
**Web:** Click **Send Update**.
**App:** Tap **Send notification**.
Enter a title and message. Hit send. Every vendor in the market gets an email and the message appears in their portal and app.
Good for: weather alerts, schedule changes, setup instructions, reminders, policy updates.
### 2. Direct message (DM) one vendor
Use this for private one-on-one conversations with a specific vendor. Every DM also sends an email notification to the vendor, and you'll receive an email when they reply.
**From the vendor table:**
Open the market's management page and scroll to the vendor table.
Click the **message icon** on the vendor's row. A small dropdown appears with **Email vendor** and **Message vendor**.
Click **Message vendor**. You're taken directly to a DM thread for that vendor.
Type and send. The vendor sees it in their portal, the mobile app, and receives an email notification.
**From the Messages page:**
Click **Messages** in the left sidebar.
Click the **pen icon** at the top of the thread list.
Search for the vendor, select them, and type your message.
Good for: asking about applications, booth requirements, special requests, quick questions.
**Email vendor** (from the dropdown) sends a standalone email through your connected email integration. **Message vendor** opens the in-app DM thread. Use DMs for ongoing conversations so the full history stays in one place.
## Where to find all conversations
* **Web → Messages page:** All your DM threads across all markets. A blue dot in the sidebar or on the mobile menu icon means you have unread messages.
* **App → Messages tab:** Same threads, available on mobile.
Messages are organized **per market** so conversations stay in context.
## Email notifications
Every message sent through the DM feature triggers an email notification to the recipient. You don't need to do anything extra — it's automatic.

## Two ways you'll pay
### 1. Host sends a payment request
The most common method. The host sends you a specific amount with a description.
You'll get an email with the amount, description (e.g. "Booth Fee — 10x10 Space"), and a **secure Stripe checkout link**.
Pending payments show on the **Schedule tab** in the mobile app with a "Pay Now" button. They also appear on your dashboard at [seenmarkets.com](https://seenmarkets.com).
Click the link or "Pay Now." You'll go to a Stripe checkout page. Enter your payment info and complete the payment.
### 2. Pay when you choose your booth
If the host set prices on booths and enabled self-selection:
Open the booth map, pick your booth. You'll see the price.
You're taken to **Stripe checkout**. Pay to confirm the booth. If you don't pay within the hold time, the booth goes back to available.

## Tips
* Pay promptly — hosts may follow up on overdue payments or release your booth.
* Check your email spam folder if you don't see the payment link.
* If the host cancels a payment request, you'll get an email notification.
* All payments are processed securely through Stripe. Seen Markets never sees your card details.
# How to set up a giveaway

## What giveaways do
Giveaways let shoppers enter to win prizes from your vendors. They drive foot traffic to booths, build your social following, and collect shopper contact info for marketing.
## How to create one
Go to [seenmarkets.com](https://seenmarkets.com) → your market's management page → click the **Giveaways** card.
Click **Create Giveaway** and fill in:
* **Name** — e.g. "Grand Prize Giveaway"
* **Description** — what shoppers are entering to win
* **Start and end dates** — when entries are accepted
Add one or more prizes. You can select prizes from vendors who indicated contributions on their application, or add prizes manually. Each prize can have a name and value.
Require shoppers to follow the market and/or participating vendors on **Instagram, TikTok, X, Facebook, or YouTube** to enter. This is optional — skip it if you don't want social requirements.
Review the standard terms. Add custom rules or a privacy policy if needed.
Save the giveaway. It's live and ready for entries.
## How shoppers enter
Shoppers access the giveaway from the **Digital Market Guide** (Giveaway tab), a **direct URL**, or a **QR code** you print and display. They enter their name, email, phone, and social username (if required), then submit.
After entering, they see participating vendors and their booth locations — driving foot traffic.
## How to pick a winner
Go to your market's giveaways and open the active giveaway.
Click **Pick Winner**. The system randomly selects from all entries.
Click **Notify Winner** and enter prize claim instructions. The winner gets an email with the details. You can resend the notification if needed.
## Sharing the giveaway
* **Digital Market Guide** — shoppers find it in the Giveaway tab of your market guide (QR code at the entrance).
* **Direct URL** — use the three-dot menu on the giveaway to copy the link. Share via social media, email, etc.
* **QR code** — each giveaway has its own QR code. Print and display at vendor booths.
## Tips
* Ask vendors to indicate prize contributions on the application form (enable the giveaway section in your [Application Form](/essentials/vendor-applications)).
* Run multiple giveaways per market if you want different prizes or timing.
* Use the collected shopper emails for future marketing via [Email Integrations](/essentials/email-integrations).

# How to set up the loyalty program

Reward repeat vendors with discounts based on participation
## What the loyalty program is
The loyalty program rewards vendors for repeat participation at your markets. Vendors earn credit toward a discount each time they're approved for one of your events. When they hit the threshold, they can redeem a discount.
## How to set it up
Go to [seenmarkets.com/settings/loyalty-program](https://seenmarkets.com/settings/loyalty-program) or from the mobile app: **Menu → Marketing → Loyalty Program**.
* **Required participations** — how many approved markets a vendor needs before earning a reward (e.g. 5).
* **Discount type** — a percentage off (e.g. 10%) or a fixed dollar amount (e.g. \$25 off).
The program is active. Vendors start accumulating participation automatically based on their approved market count.
## What vendors see
* **Mobile app → Loyalty tab:** Vendors see your loyalty program, their progress toward the next reward, and any unlocked rewards.
* **Web → Loyalty Program page:** Same info at [seenmarkets.com/v/loyalty-program](https://seenmarkets.com/v/loyalty-program).
Participation is calculated automatically — every time you approve a vendor for one of your markets, it counts toward their total.
## How redemption works
When a vendor hits the required participation count:
1. They see an available reward in their Loyalty tab.
2. The discount is applied when you process their next payment or you can manually redeem it from the rewards management page.
## Tips
* Set a participation count that's achievable but meaningful (e.g. 3–5 markets).
* Let vendors know about the program when you approve them — it's a great retention tool.
* Each host's program is separate, so your threshold and discount are yours alone.

Every market has three shareable links. Each serves a different purpose.
### 1. Application form
**Who it's for:** Potential vendors.
**What it is:** The direct link vendors use to apply to your event.

**Where to get it:**
* **Web:** Market management page → Application Form section → copy the link.
* **App:** Open the market → **Share** → **Application Form**.

**What it is:** A public marketing page with your market name, dates, location, vendor list, and a link to the application form.

Post this on social media, your website, or send to anyone who wants to learn about your event.
### 3. Digital Market Guide + QR code
**Who it's for:** Shoppers at the market.

Your organization also has a **public schedule page** showing all upcoming events.

The **Seen Markets mobile app** (iOS and Android) lets hosts and vendors manage everything from their phone. Same account as the website — sign in once, switch between your **host** (organization) and **vendor** (your business) context as needed.

## What hosts can do in the app
As a **host**, you use the app to create events, manage recurring dates, message vendors, share links, and check the getting started guide. For detailed setup (booth map design, application form editing, vendor table management), use [seenmarkets.com](https://seenmarkets.com).
## Schedule tab (home)
This is your main screen. You see:
* **Getting started checklist** (if new) — walks through payments setup and first event creation.
* **Upcoming markets** — list of your team's events with name, dates, logo, and published status.
* **Schedule page link** — copy and share your public schedule URL that lists all your upcoming events for vendors and shoppers.
* **"+ Add"** button — create a new market.
* **Per-market actions** — tap to open details; long-press or use the menu for "Add date" (duplicate) or "Delete."
## Create and manage events
Tap **Add** to create a new market. Fill in: name, description, dates/times, timezone, location, contact info, social links, admission fee, custom links, and FAQs. You can also mark it as recurring.
On any event, use **Add another date**. This duplicates the event for a new date — copies the application form, booth map, links, and FAQs. Optionally copy vendors and booth assignments. Each date stays its own event to manage separately.
Toggle **Publish** on a market (with option to notify vendors). Then share the **application form link**, **market page**, or **Digital Market Guide** (with downloadable QR code).

Your first event is **free** with all core features. To unlock unlimited events, choose a plan:

When you're new, the app shows two steps:
1. **Set up payments** — Connect Stripe to collect booth fees and application fees from vendors. The walkthrough explains why (no spreadsheets, automatic tracking) and links directly to payment settings on the web. Mark complete when done.
2. **Add your first event** — Walks through one-time vs recurring events, "Add another date," and how vendors apply to multiple dates. Mark complete when done.

## Messaging
### Direct messages (DMs)
From a market's vendor list, tap any vendor to open a **DM thread**. Messages are per-market so conversations stay organized. You can also access all message threads from the **Messages** tab.
### Market chat
Each market has a **group chat channel** visible to you, your team members, and all vendors in that market. Use it for day-of coordination, open Q\&A, or group updates where you want vendor replies visible to everyone. Access market chat from the **Messages** tab.
## Schedule page
Your organization has a **public schedule page** that lists all upcoming events. From the Schedule tab, copy the URL or preview it. Share this link so vendors and shoppers can see everything you have coming up and apply directly.
## Menu
From the **hamburger menu** you get:
* **Marketing** — Print Shop, Loyalty Program, All Vendors, All Shoppers (these open on the web).
* **Settings** — General, Payments Setup, Team Members, Email Preferences & Templates, Email Integration, Email Logs.

Exactly what vendors can do in the Seen Markets app
## What vendors can do in the app
As a **vendor**, you use the app to manage your market applications, explore new markets, choose booths, message hosts, track payments, earn loyalty rewards, and order booth supplies. Same account as [seenmarkets.com](https://seenmarkets.com) — sign in once and switch to "Vendor" context if you also host events.
## Schedule tab (home)
This is your main screen. You see:
* **Upcoming markets** — every event you've applied to, with your status (pending, approved, waitlisted, denied).
* **"More dates available"** hint — if hosts you've worked with have upcoming dates you haven't applied to yet, the app nudges you to check the Explore tab.
* **Pending payments** — outstanding payment requests with a "Pay Now" button.
* **Choose booth** — when a host enables booth self-selection and you're approved, you'll see an option to pick your booth.
Tap any market to see details, message the host, view payments, or cancel participation.
## Explore tab
Browse markets from **hosts you've already worked with** — an easy way to find more dates or new events from organizers you know. Each host's upcoming markets are listed with a "Join" button that opens the vendor application form.
### Find markets
Tap **"Find events near you"** to search for new markets:
* Search by **name** or **location**.
* Filter by **state**.
* Use **"Near me"** for location-based results.
* Results include markets you haven't applied to yet — tap to apply.
## Messages tab
Two types of conversations:
* **Direct messages (DMs)** — Private one-on-one threads with the host of each market. When you have a question about a specific event, message the host directly.
* **Market chat** — A group channel for each market where you, the host, and other vendors can communicate. Useful for day-of logistics, open questions, and group coordination.
All your conversations are in one place.
## Loyalty tab
See loyalty programs from hosts you've participated with:
* **Progress** toward the next reward (based on number of markets attended).
* **Unlocked rewards** — discounts or credits you've earned.
* Each host's program is separate.
## Booth Design tab
* **Get AI feedback** — upload a photo of your booth setup and get suggestions.
* **Order booth supplies** — labels, packaging, bags, banners, signs, business cards, posters. These open the Print Shop filtered for vendor products.
## Market details (vendor view)
Tap any market from the Schedule tab to see:
* **Status pill** — your current application status.
* **Share** — invite friends and family to the event (application form, market page, Digital Market Guide).
* **Edit application** — update your application (opens on web).
* **Booth location** — see your assigned booth on the map (opens on web).
* **Message organizer** — open a DM thread with the host.
* **Payments due** — outstanding payment requests with pay link.
* **Notifications** — updates the host has sent.
* **Cancel participation** — withdraw from the event.
* **FAQs, social links, custom links** — event details.
## Booth self-selection
When a host enables it, approved vendors can **choose their own booth**:
1. From your market details, tap **Choose booth** (or "Add another booth").
2. See the interactive booth map with available, reserved, and taken booths.
3. Select a booth. Free booths confirm immediately; paid booths go to **Stripe checkout**.
4. Reservations have a time limit — complete checkout before the hold expires.
## Edit your profile
Tap **Edit Profile** from the header to update:
* Business name, logo, description
* Contact info (email, phone)
* Address
* Social links (Instagram, TikTok, X, Facebook, YouTube)
* Payment methods (Venmo, Cash App, PayPal)
This info is used across all markets you apply to.
## Menu (vendor)
* **Payment History** — all past payments (booth fees, etc.).
* **Order Booth Supplies** — Labels, Packaging, Bags, Banners, Signs, Business Cards, Posters.
* **Need help?** — Contact support.
## Switching between host and vendor
If you're both a host and a vendor:
1. Tap the **profile/account** icon.
2. See your **Vendor** account and any **host** organizations (teams).
3. Select **Vendor** to see your markets and profile, or select a team to manage that organization's events.
Same login — no separate vendor account.

Launch your market in under 5 minutes
## Create Your Account
Create your free account at [seenmarkets.com/signup](https://seenmarkets.com/signup) or download the **Seen Markets mobile app** (iOS / Android). You can also sign in with Google or Apple.
After creating your account, you'll set up your **organization** — this is your central hub for managing all your markets, team members, and settings.
Sign in at [seenmarkets.com/signin](https://seenmarkets.com/signin) or in the mobile app to continue managing your markets.
## Pricing
Your **first event is free**. To create unlimited events, upgrade to **Pro**:
* **Mobile app:** Subscribe via Apple (App Store) or Google Play.
* **Web:** Subscribe via Stripe at [seenmarkets.com](https://seenmarkets.com).
Vendors don't need a subscription — vendor features are always free.
## Creating Your First Market
On the web: click **Create Market** at the top of your dashboard.
In the app: tap the **+ Add** button on the Schedule tab.
* **Market Name** — the official name of your event.
* **Description** — a brief overview shown to vendors and shoppers.
* **Address Information** — the physical location.
* **Contact Information** — name, phone, email (visible to vendors and shoppers who need to reach you).
* **Start Date and Time** — when the market begins.
* **End Date and Time** — when the market ends.
* **Timezone** — your market's timezone.
* **Is Recurring?** — mark if this is a recurring market (you'll add more dates later by duplicating).
* **Has Admission Fee?** — if shoppers pay to attend, set the amount. This is for display only; booth fees for vendors are handled separately via payments.
Add your Instagram, TikTok, X, Facebook, YouTube, custom links, and FAQs. These appear on the market page and Digital Market Guide.
Review everything and click **Create Market**.
## After Creating Your Market
You'll be directed to your markets list. Click **Manage** to open the market management page — your central hub for everything related to this event.
## What to Set Up Next
### 1. Set Up Payments
Connect Stripe to collect booth fees and application fees from vendors. Go to **Settings → Payments** or use the getting started checklist in the mobile app.
* We charge a 2% processing fee on top of Stripe's standard fees (0% on Pro Plus and Pro Concierge plans).
* You can optionally pass the platform fee to vendors.

Open the **Application Form** from the market management page. Add custom questions, set a deadline, configure auto-waitlist, and add terms & conditions. Then share the application link with vendors.

## Adding Recurring Dates
If you run a weekly, monthly, or seasonal market:
1. Create your first event for the first date.
2. Use **Add another date** (duplicate) to create the next date — copies the application form, booth map, vendors, and settings.
3. Each date is its own event so you manage them separately.
4. Vendors apply to one date, then can quickly apply to your other dates from their portal with prefilled info.

## How recurring dates work
In Seen Markets, **one event = one date**. There is no single "event" that has many dates. So:
* A **one-time market** is one event for that day
* A **recurring market** (weekly, monthly, etc.) is multiple events—one per date—that you manage as a series.
You create the first date, then add more dates by copying that event. Vendors apply to one date first; in their vendor portal they see your other dates and can quickly apply to the rest with their info prefilled.
## How to set up recurring dates
Create one event for the **first** date of your series (e.g. first Saturday
of the season). Fill in name, location, times, and everything else as usual.
On that event’s management page, use **“Add another date”** (or
duplicate/copy). This creates a **new** event for the next date—you are not
editing the first one.
When adding another date, you can copy vendors and booth assignments to the
new event so you don’t start from scratch. Each date is still its own event
so you can manage them separately (e.g. different vendors per date).
Publish and share your application form and event pages as usual. Vendors
apply to one date first; then in their portal they see your other dates and
can auto-apply to more—their info is prefilled. They choose which dates they
attend.
**Tip:** Setting up the booth map, application form, and vendor list is easier

great for creating markets, quick edits, and messaging vendors.

## How vendor accounts work
Vendors use the same platform as hosts — one account for everything. They sign in at [seenmarkets.com](https://seenmarkets.com) or the mobile app, apply to markets, manage their profile, communicate with hosts, and track payments.
## The vendor flow
Vendors go to [seenmarkets.com](https://seenmarkets.com) or the mobile app. They sign in with email/password, Google, or Apple. One account works for all markets.
Vendors use the **application form link** you share (e.g. `seenmarkets.com/markets/.../apply`). They fill out the form — business name, contact, description, product categories, custom questions, and optionally a giveaway prize contribution. No account is required to start the form; one is created during submission.
In the vendor portal (web or app), vendors see every market they've applied to and their status: pending, approved, waitlisted, or denied. They get an email when you change their status.
If you have **recurring dates**, vendors see your other dates and can apply with one tap — their info is prefilled. They choose which dates they want to attend.
When you enable **booth self-selection**, approved vendors see the booth map and pick their own spot. Free booths confirm immediately; paid booths go to Stripe checkout.
When you request payment, vendors get an email with a Stripe checkout link. Pending payments also show in the mobile app and vendor portal with a "Pay Now" button.
